 With fixed-duration and effort-driven tasks, neither the duration nor the amount of work can increase, so adding resources means that each resource will be assigned at a lower percentage (they’ll spend less time working on the task), freeing them for other tasks. If a task requires equipment that is leased for a specific length of time, the tasks may be best described as fixed-duration tasks. If the equipment can be used by or a specified number of people at one time, the task is also effort-driven:

• Your print shop accepts a large job that will take sixteen hours to print using one offset press. You leased excess capacity on another company’s press for two days.

It takes one person to run an offset press. If you assign two people, each will need to work only 50% of the time (even though they both may try to look really buy).

When you use Project 2000 to manage a project, one of the most important taste of the project manager is analyzing each task, and then choosing the. correct task type and effort-driven setting. Project will recalculate work, duration, and units correctly
as you add and remove resources, change duration, or adjust the amount of work
that a task requires during the development phase. .
To change a task’s type or effort-driven setting:
1. Double-click the task, or select the task(s) and click the Task Information button on the standard toolbar to open the Task Information dialog’box.
2. Click the Advanced tab.
3. Choose a task type from the Task Type drop-down list.
4. For fixed-unit and fixed-duration tasks, enable or disable the Effort-driven check box.
5. Click OK.

Setting the Default Task Type

The default task type is Fixed Units. To change the task type for new tasks in your project, change the default:
1. Choose Tools > Options from the menu to open the Options dialog box, shown in.
2. On the Schedule tab, choose Fixed Duration or Fixed Work from the Default Task Type drop-down list.
3. Click OK to close the dialog box. All new tasks will be created with the new default setting.

Some tasks, such as product review by customers, have duration but may not consume project resources. If you don’t have resources working on. a.task, don’t assign resources to the task.

Assigning a Work Resource from the Assign Resources

Dialog Box To assign resources using the Assign Resources dialog box:
1. Switch to Gantt Chart view (View> Gantt Chart).
2. Select the task(s) that you want to create the assignment for.
3. Click the Assign Resources button on the Standard toolbar.
4. Select a resource name in the Assign Resources dialog box.
5. To assign a resource part-time, use the spin box control or type a percentage less than 100% in the Units field. To assign multiple units of the same resource, use the spin box control or type a percentage greater than 100% in the Units field. To assign more than one resource, select each resource.

6. Click the Assign button to assign the resource .

Assignable sources Using the Task Form

When you see the Task Form 10 enter or view assignments, you usually split the window mislaid)lay a task view such as Gantt Chart view in one pane and the Task Form in the other. This work space configuration is shown in.

The Task Form provides a wealth of information about the task selected in the Gantt Chart view, and It-is the best view to use if you change task type and effort-driven settings as you assign resource  the pro tasks. You can see the pf(),post,art and finish dates, the task type and effort-riven settings S well as the task’s predecessors and lag, and resources. To show the Gantt Chart and the Task Form:
1. Choose View > Gantt Chart to switch to the Gantt Chart view.
2. Choose Window >Split Window.
3. Click in the lower pane and choose View >More Views to open the More Views dialog box.
4. Select Task Form and click OK.

To assign resources using the Task Form:
1. In the Gantt Chart, select the task(s) you wish to assign resources to,
2. In the Task Form, select a resource from the Resource “Tlme drop-down list.
3. In the Units and Work columns, use the spin hox controls to enter units, work, or both,
4. Repeat Steps 2 and 3 until all resources are chosen for the selected task.
S. Click the OK button in the Task Form to assign the resource(s).
The Task Form gives you a major advantage when you’re assigning multiple resources to tasks, In the Assign Resource dialog box, if you change the Units for one resource and then switch to another resource, Project assigns the first resource and calculates work or
duration for the entire task, based only on the first resource. In the Task Form, all resources are assigned at the same time, so when you use the Task Form, Project doesn’t accidentally calculate work or duration prematurely,

Assigning Resources Using the Work group Features

If you use Project 2000’s work group features, you can assign tasks to people using Team- Assign and Project Central.
